TallyPrime & Tally.ERP 9 data migration

How to put Tally data on the cloud, safely and step by step

Putting Tally data on the cloud is a backup, an encrypted upload, a restore and a licence move. Here is every step with the exact TallyPrime menus, what we do for you, and how to switch from Tally.ERP 9, TallyPrime Cloud Access or another host without losing a single voucher.

  • Assisted migration in every plan
  • Licence stays in your name
  • Tally.ERP 9 data upgraded
  • Old copy kept for rollback
Quick answer

How to put Tally data on cloud: close TallyPrime on every PC, back up all companies with Alt+Y › Backup & Restore › Backup (Alt+Y › Backup on 6.2 or earlier), upload the file over an encrypted link, restore it on your cloud server, reactivate your licence there, then match the trial balance and voucher counts before going live.

Before you start

Note four things, then ask everyone to exit TallyPrime

Ten minutes of homework on your current PC saves hours later. Everything you need is in TallyPrime's Help menu, and none of it changes your data.

  • Release and licence. F1 › About shows the release; F1 › Settings › License shows the licence edition (Silver or Gold) and serial number. The release decides which backup menu you use and whether the data needs migrating.
  • Data path. F1 › About › Location of Company data. Each company is a numbered folder inside it, and you back up or copy the whole folder, never single files.
  • TDLs and add-ons. F1 › TDLs & AddOns (or Ctrl+Alt+T) lists the customisations loaded. Note each .tcp file and who wrote it.
  • Everyone out. Before the final backup, every user closes TallyPrime so no company is open and no voucher is half-saved.

Your checklist
  1. Note the release and licence: F1 › About and F1 › Settings › License.
  2. Note the data path (F1 › About › Location of Company data) and confirm no TDLs are loaded.
  3. Find the TallyVault password for any vaulted company.
  4. Ask everyone to exit TallyPrime, then back up all companies: Alt+Y › Backup & Restore › Backup › All Items.
  5. Upload over our encrypted link and send us the file's SHA-256 checksum.
  6. On go-live day, surrender the licence (F1 › Settings › License › Manage License › Ctrl+F7) and reactivate it on the server on a screen-share.
  7. Match trial balance, stock summary and voucher counts, then make the old copy read-only.

A planning guide, not a quote. Upload time assumes the backup is as large as your data folder and that the line runs at full speed; Wi-Fi and other traffic slow it down. The cut-over window is our suggestion based on what you selected.

Step 1

Back up every company, with the right menu

TallyPrime 7.0 moved backup into a combined Backup & Restore menu, so the keys depend on your release.

  1. TallyPrime 7.0 or later: press Alt+Y (Data) › Backup & Restore › Backup, choose All Items, and pick a local folder as the destination (Tally help).
  2. TallyPrime 6.2 or earlier: press Alt+Y (Data) › Backup, and select All Items on the Backup Companies screen (Tally help).
  3. TallyVault companies ask for the TallyVault password during backup. Keep it safe: TallyPrime asks for it again when the company is restored.
  4. Alternative: with TallyPrime closed on every computer, zip the whole numbered company folders from the data path. This is also how you send us Tally.ERP 9 data.

Already using TallyDrive or a scheduled backup? Take a fresh manual backup anyway, after everyone has exited, so it includes the last voucher entered. Our TallyPrime backup guide covers Auto Backup, TallyDrive and Google Drive in depth.

Backup method, data format and migration need by Tally release
Your releaseHow to back upData formatMigration needed?
TallyPrime 7.0, 7.1Alt+Y › Backup & Restore › Backup.1800No
TallyPrime 3.0 to 6.2Alt+Y › Backup.1800No
TallyPrime 1.x, 2.xAlt+Y › Backup.900Yes, on the server
Tally.ERP 9Zip the company folders, Tally closed.900Yes, on the server

Data formats from Tally's data migration FAQ: files use .1800 from TallyPrime 3.0 and .900 in Tally.ERP 9 and TallyPrime 2.1 or earlier.

Never copy individual files such as Company.1800 on their own. A company is the whole numbered folder, and a partial copy is a common cause of data that won't open.

Step 2

Upload it securely, never by WhatsApp or e-mail

Your backup holds every ledger, party, GSTIN and bank detail in your books. It should travel once, encrypted, to one place.

  • Use the encrypted upload link we send. It goes straight to storage for your server, and the link expires after use. For very large data we send an SFTP login instead.
  • Send a checksum with it. A SHA-256 hash is a fingerprint of the file. If ours matches yours, the backup arrived complete and unchanged.
  • WhatsApp, e-mail or a public share link. Copies stay in chats, inboxes and phone galleries long after the move, outside anyone's control.
  • Pen drives by courier. They get lost, and they aren't encrypted unless you set it up yourself.

How we protect data in transit and at rest on your server is on our Tally on Cloud security page.

# Windows: PowerShell
PS> Get-FileHash .\TallyBackup.zip -Algorithm SHA256
Algorithm Hash
SHA256 9F2C41…E41A
# Mac: Terminal
$ shasum -a 256 TallyBackup.zip
9f2c41…e41a TallyBackup.zip
✓ Server hash matches: file arrived intact

Sample output, shortened. Get-FileHash is built into Windows PowerShell; shasum is built into macOS. Send us the hash on WhatsApp; the hash reveals nothing about your data.

Step 3

We restore it on your server, into a fresh folder

Your private Windows server already runs the latest TallyPrime (7.1 today). We never restore into an older release than the one your data came from.

  1. Set the data path. In Alt+Y (Data) › Configuration, we point Company Data Path to an empty folder on the server's data disk, separate from the backup disk.
  2. Restore. Alt+Y › Backup & Restore › Restore, choose the uploaded file as the source, select the companies, and press Ctrl+A. When a file has several backups, the List of Versions shows the latest at the top.
  3. TallyVault. For vaulted companies, TallyPrime asks for the TallyVault password. We share the screen so you type it yourself.
  4. Open and spot-check. We open each company once, before you do, to confirm it loads cleanly.

Restore steps from Tally's Restore Backup Data help page.

Use Replace only when you're sure. If a company already exists in the restore path, TallyPrime offers to skip it or Replace it, and Replace overwrites the existing folder with the backup. That's why we restore into an empty folder: nothing can be overwritten by accident.

What the server gets set up with

  • Latest TallyPrime, on a private server for your company only, in Mumbai
  • Separate storage for live data and backups, as Tally recommends for servers
  • Daily automated backups with 30-day retention, starting the night you go live
  • Antivirus exclusions for the data folder so scans don't slow TallyPrime
How we size your server
Step 4

Move the licence on go-live day, typed by you

Your TallyPrime licence belongs to your business, so you move it yourself while we guide you on a screen-share. We never ask for, type or store your Tally.NET password. Until go-live day the licence stays on your office PC and everyone keeps working there.

On your office PC

  1. Make sure everyone has exited TallyPrime and the final backup is uploaded.
  2. Press F1 (Help) › Settings › License › Manage License.
  3. Press Ctrl+F7 (Surrender) and enter the Tally.NET ID and password of the licence Administrator.

Source: Tally's How to surrender a licence.

On your cloud server

  1. Open TallyPrime on the server through Remote Desktop, with us on the screen-share.
  2. On the License screen, choose Reactivate Existing License.
  3. Type your Tally.NET ID and password, select your licence, and confirm.

Source: Tally's Reactivate License. Tally's TallyPrime FAQ adds that reactivating on a new computer surrenders it from the old one automatically.

Count your remote users before you move

Tally counts every TallyPrime window opened over Remote Desktop as a Tally Virtual User (TVU). Licence and data must also sit on the same server, which is why every TallyoCloud plan is a private server for one company.

How Tally Virtual Users are counted
1remote user included with Silver
10concurrent remote users with Gold
₹125per extra user a month, paid to Tally

Source: Tally Virtual User FAQ. Extra TVU packs are billed annually by Tally, plus tax. One licence serves one business.

Coming from Tally.ERP 9

Tally.ERP 9 on cloud? Upgrade on the way in

Tally.ERP 9 still opens and still works. But Tally says TSS renewal for it was discontinued from 16 August 2026, so it gets no statutory, GST or connected-service updates. Moving to the cloud is the natural moment to upgrade, and we do the data migration on your server.

16 Aug 2026TSS renewal for Tally.ERP 9 discontinued
9 Nov 2020TSS active on or after this date? The upgrade is free
5 → 6digit company number: the original is kept, a new one created
Escpauses a long migration; resume it later from where it stopped

Sources: Tally's free upgrade page and migration guide. If your TSS expired before 9 Nov 2020, the upgrade is paid.

How the migration runs on your server

  1. You zip and upload the Tally.ERP 9 company folders, exactly as in steps 1 and 2.
  2. We place the company folders in the server's data path and open Alt+Y (Data) › Migrate (also under F1 › Troubleshooting › Migrate).
  3. TallyPrime prompts "Backup Company Data before Migration". We leave it on.
  4. We confirm the options with you first, such as keeping voucher numbering and the GST settings, then start.
  5. TallyPrime keeps the original five-digit company and creates a new six-digit one, and we review the Migration Summary together.

Very old data? Companies from Tally 5.4, 6.3 or 7.2 need a two-step move: first into Tally.ERP 9 format with Tally's own migration tool, then into TallyPrime. Tell us early and we plan an extra trial run.

Can we host Tally.ERP 9 as it is? Technically, yes, for example as a read-only archive of old years. For live books we recommend TallyPrime, because GST and e-invoice changes now only reach TallyPrime. More in Is Tally.ERP 9 discontinued?

Switching providers

Switching from TallyPrime Cloud Access or another host

The one rule: get a complete backup while your current service is still active. Once a hosted service ends, the clock on your backups starts ticking, and on Tally's own service it is short.

How to get your Tally data and licence out of TallyPrime Cloud Access or another cloud host
TallyPrime Cloud AccessAnother Tally cloud host

Add-ons.exe and .dll add-ons aren't supported there, so expect TDLs onlyList every add-on and TDL installed on the old server
Best timingBefore the end of your 3, 6 or 12-month term; terms auto-renew, so switch renewal off in timeBefore your billing date, with a few days of overlap

Sources: Tally's Cloud Access backup page (backups available until the expiry date + 7 days when the service ends on time; deprovision date + 30 days in some early-cancellation cases) and Cloud Access FAQ ("30 days from the date of deactivation"). Tally's two pages differ, so plan for the shorter window.

1. Download first

Take or download a full backup while the old service runs. Restore and check it with us before anything is cancelled.

2. Move the licence last

On go-live day, reactivate on your new private server on a screen-share. Tally releases it from the old virtual computer.

3. Then let it lapse

Once balances match and your team is working on the new server, end the old subscription.

Step 5

Reload TDLs, then prove the numbers match

A migration is finished when the books on the server agree with the books on your PC, not when the files arrive. We check these with you before anyone posts a voucher.

What to compare between the old PC and the cloud server after migration
CheckHowMust match
Trial BalanceAlt+G (Go To) › Trial Balance, same period on bothEvery closing balance
Stock SummarySame period, same godownsClosing quantity and value
Voucher countsStatistics reportCount for each voucher type
Last entriesDay Book for the last working dayLast voucher number and date
Bank & GST ledgersLedger vouchersClosing balances
TDL outputPrint or export one invoiceSame layout and fields

Checks follow Tally's data migration FAQ. After a Tally.ERP 9 migration we also review the Migration Summary. If something doesn't match, nobody posts entries until it's resolved; see what to do if Tally data is corrupted.

Reload TDLs and add-ons

We load your .tcp files from F1 › TDLs & AddOns › F4 Manage Local TDLs, with "Load selected TDL files on startup" set to Yes, so they load for every user. Then you test the reports and print formats you rely on.

Re-login to connected services

  • GST portal, e-invoice and e-way bill logins
  • Connected Banking and payment services
  • WhatsApp and e-mail sharing settings

These need an active TSS and internet on the server, which stays online around the clock.

Go-live and rollback

One clean switch, with a way back

Your server is ready within one business day once sign-up is verified. How long the cut-over takes depends on data size, upload speed, add-ons and any Tally.ERP 9 migration, so use the checker above for a planning estimate. We schedule it outside your working hours.

Trial restore

A few days before, you upload a copy while the office PC stays live. We restore it, load TDLs and you test everything. Nothing is surrendered.

Cut-over

After hours: everyone exits TallyPrime, you take the final backup, we restore it, you move the licence, and we match the balances together.

Day one on cloud

Your team logs in from Windows, Mac or a phone. The old company folders become read-only, so nobody posts to them by mistake.

Rollback, if needed

If something is wrong before entries are posted on the cloud, reactivate the licence on the PC and carry on there. The PC data was never changed.

Keep the old copy, but don't use it. Making the old folders read-only (or renaming them) prevents the classic problem of two sets of books: one person posts on the PC while everyone else works on the cloud. After go-live, your server is covered by our backups (Daily automated backups, 30-day retention), and you can download your own backup at any time. Questions on day one? Support 7 days a week, through our support options.

FAQ

How to put Tally data on the cloud: your questions

How do I put my Tally data on the cloud?

Ask everyone to close TallyPrime, then back up all companies with Alt+Y › Backup & Restore › Backup (Alt+Y › Backup on release 6.2 or earlier). Upload the backup over our encrypted link, never by WhatsApp or e-mail. We restore it on your private cloud server and reload your TDLs, you reactivate your licence on a screen-share, and together we match the trial balance and voucher counts before go-live.

Can I move my Tally licence to the cloud server?

Yes. On go-live day you surrender it on your PC from F1 › Settings › License › Manage License, then Ctrl+F7, and reactivate it on the server while we guide you on a screen-share. You type your own Tally.NET details; we never ask for them. Tally's FAQ says reactivating on a new computer also surrenders the licence from the old one automatically.

Can you host Tally.ERP 9 on the cloud?

Technically yes, but we recommend upgrading. Tally.ERP 9 still works, but Tally discontinued TSS renewals for it from 16 August 2026, so it gets no statutory or connected-service updates. The upgrade to TallyPrime is free if your TSS was active on or after 9 November 2020. We migrate the data on your cloud server with Alt+Y › Migrate and leave the original company untouched.

How do I switch from TallyPrime Cloud Access or another host?

Take a full TallyPrime backup while your current service is still active. Tally's own pages allow 7 days after expiry (its backup page) or 30 days from deactivation (its FAQ) to download backups, so don't cut it close. Upload the backup to us, check the restore, then reactivate your licence on your new private server over a screen-share. Only then let the old service end.

How long does it take to move Tally data to the cloud?

Your server is ready within one business day once sign-up is verified. The move itself depends on data size, your office upload speed, TDL add-ons and whether Tally.ERP 9 data must be migrated first. As a guide, uploading 5 GB at 25 Mbps takes about 27 minutes at full speed. We schedule the final cut-over outside your working hours, so your team doesn't lose a working day.

Can my team keep working on the office PC during the move?

Yes, until cut-over. We usually restore a trial copy first so you can check it while the office PC stays live. On cut-over day everyone exits TallyPrime, we take the final backup and restore it, and from then on every entry goes to the cloud. The old copy is then made read-only, so nobody posts to it by mistake.

Do TDLs, add-ons and TallyVault companies move too?

Yes. Send us your TDL (.tcp) files and we load them on the server from F1 › TDLs & AddOns › F4 Manage Local TDLs. Third-party add-ons with .exe or .dll files are checked for compatibility on your private server first. TallyVault companies restore normally, but TallyPrime asks for the TallyVault password, so make sure someone has it before you start.

What if something goes wrong after the move?

You can roll back. Your office PC copy is never changed during the move; we only make it read-only after go-live. If a problem appears before anyone posts entries on the cloud, reactivate the licence on the PC and carry on there while we fix it. After go-live, any company can be restored to an earlier day from our backups (Daily automated backups, 30-day retention).

Assisted migration is included in every plan; see what else is included on our pricing page. ₹799 per user per month + GST.
