Tally on Cloud multi-user: one live company for every branch and godown

Put your licensed TallyPrime on one private Windows server in India, and let head office, every branch, the godown and staff at home open the same company at the same time. A sale billed in one city reduces stock for everyone the moment it's saved. No LAN, no VPN, no data synchronisation.

  • No LAN or VPN to manage
  • No sync, no month-end merge
  • Daily automated backups
  • Starting from ₹799/month

Quick answer

Tally on Cloud multi user means one licensed TallyPrime company runs on a Windows cloud server, and every user, at any branch, godown or home, opens it at the same time through Remote Desktop. No LAN or data sync is needed. Each open TallyPrime window counts as one Tally Virtual User: Silver includes 1, Gold includes 10, and extra packs cost ₹125 per user per month from Tally.

Multi-user without a LAN

How to use Tally on multiple computers without a LAN

In an office, multi-user TallyPrime means a Gold licence, one PC that holds the data and everyone plugged into the same network. Tally's FAQ says Gold allows unlimited users on a LAN. The catch is the word "LAN".

Tally's licensing best practices (updated June 2026) say a Gold licence is meant for one LAN at a single business location, and that using it across branches, even of the same company, needs separate licences. Its licensing FAQ adds that a licence is not supported on any LAN created by, or connected through, a VPN. So stretching the office network to a second city isn't the answer.

Tally's own route for people in different places is virtual access: keep the licence and the data together on one server and let everyone connect to it. That is exactly what we run for you, in four steps.

Nothing changes inside TallyPrime itself. It is the same Windows edition your team already knows, with the same shortcuts, reports, GST features and TDLs, only it now runs in a data centre instead of under someone's desk.

One private server

We build a Windows Server VM in Mumbai for your business alone, install TallyPrime 7.1, restore your companies and reactivate your licence on it.

A login for each person

Every user gets their own Windows login with two-factor sign-in, plus their own user role inside TallyPrime.

Any device, any city

Microsoft's free Windows App on Mac, iPhone, iPad and Android, Remote Desktop Connection on Windows, Remmina on Linux.

Same company, same second

Everyone opens the same company on the server. A voucher saved at the branch is in head office's Day Book at once.

Concurrent users

How many users can work at once? Count windows, not people.

On a LAN, Gold has no user cap. Over Remote Desktop the limit is the Tally Virtual User (TVU), and Tally's TVU FAQ counts every TallyPrime instance opened in a virtual session as one.

1TVU included with Silver: one person at a time
10TVUs included with Gold, used concurrently
₹125per extra TVU per month + GST, billed annually by Tally
1 = 1one open TallyPrime window uses one TVU

Four counting rules that catch teams out

  • Two windows, two TVUs. Tally's own example is blunt: one user who opens 10 instances uses all 10 of a Gold licence's TVUs and locks everyone else out. TallyPrime can load several companies in one window, so most people need only one.
  • The limit is concurrent, not headcount. Fifteen staff across two shifts can fit inside Gold's 10 if no more than ten windows are open at the same moment.
  • Phones count too. An owner checking outstandings on an iPhone uses a TVU while TallyPrime is open there.
  • Over the limit, the window won't open. Tally shows "Maximum Tally Virtual User (TVU) limit exceeded. Close one or more TallyPrime instances accessed using TVU and try again."

Need more users? Three ways to buy them

Upgrade Silver to Gold₹45,000One-time, + GST. Moves you from 1 TVU to 10.
Gold on rental instead₹2,250/mo+ GST. TSS is included while the rental runs. Gold outright is ₹67,500 + GST.
Extra TVU packs for Gold₹125/user/mo+ GST, billed annually. Tally discounts volume: 10% off from 5 users, 15% from 15, 20% from 25 and 25% from 100.

Branch map builder

Map your business, count your TVUs

Add your head office, branches, godowns and the people who work from home or on the road. The map shows everyone posting into one server, and the panel shows the TVUs you'd need at peak and the plan that fits.

Rename any location by clicking its name. Counts assume everyone listed works at the same moment, which is the worst case; if shifts overlap less, you need fewer TVUs. A godown can have zero users and still be tracked as a godown inside TallyPrime. Extra TVU costs use Tally's list price and volume slabs, before GST.

Branches & godowns

TallyPrime for multiple branches: one central company, not copies

The traditional branch setup gives every location its own company file and synchronises them. With a cloud server, every branch posts into one company instead, and the licence rules work in your favour.

One licence, many branches, on the cloud. Tally's licensing best practices say you "can use cloud hosting to only share one license across different branches of the same business entity, and not different business entities." Its TVU FAQ adds that multi-location organisations can run a single licence instead of buying one per branch. A sister firm or separate company still needs its own licence, and with us, its own server.

Branches in other states: multi-GSTIN

Since TallyPrime 3.0, one company can hold several GST registrations. Tally's own example is branches in three states with three GSTINs in a single company, with returns viewed or exported per GSTIN or together. Reports like profit and loss stay company-wide, not GSTIN-wise.

Godowns: stock by location

Create each warehouse as a godown or location, even in a hierarchy such as region, then warehouse. Every stock movement names a godown, so stock reports show each one and transfers between them are recorded. On the cloud, the godown clerk enters them live.

Branch profit: cost centres

Allocate income and expenses to a cost or profit centre for each branch, and TallyPrime reports profitability per location from the same books. Head office gets one consolidated view without merging anything at month-end.

Control

User rights per branch, and why this beats a shared folder

Decide who can do what

Inside TallyPrime, Alt+K → User Roles sets what each person may touch. Tally's user management guide lists the controls:

  • Voucher types. Full access, create, alter or display only, type by type.
  • Reports. Whether a role can display, print, export or share each report.
  • Back-dated entries. "Days Allowed for Back Dated Vouchers" and a cut-off date that closes earlier periods.

A simple pattern for branches: give each one its own voucher types, such as Sales – Pune and Sales – Indore, with separate numbering, then give each branch's billing role only those types. Roles work by voucher type and report rather than by branch, so if a branch must never see head-office figures, restrict its reports, or ask us about a vetted add-on.

On the server, every person has their own Windows login with two-factor sign-in, and you can add an IP allow-list. When someone leaves, we switch off one login; there's no company data sitting on their laptop. More in how we secure Tally on Cloud.

Shared-folder LAN

  • Tally's performance checklist wants ping under 5 ms between client and server: fine inside one office, impossible between cities.
  • Tally's licensing FAQ advises against Wi-Fi: if it drops, TallyPrime can turn to Educational mode.
  • The "server" is often someone's desk PC, which has to stay on, patched and backed up.

One cloud server

  • TallyPrime and the data sit together on the server's SSD; only keystrokes and screen updates cross the internet.
  • The server stays on in a data centre, with a 99.9% uptime target.
  • Daily automated backups kept in India, 30-day retention.

Sizing & cost

Sized for your busiest hour, reachable from any phone

A multi-user server is sized for how many TallyPrime windows are open at peak, not how many people are on the payroll.

Tally's recommended hardware configuration sizes Remote Desktop memory as average RAM per instance × users × instances per user. Its example, 500 MB × 20 users × 2 instances, comes to about 20 GB before Windows Server takes its share. Big stock masters push that up, so we restore your companies first and measure on your own data before fixing the plan. The worked numbers are on our Tally cloud server page.

If dozens of people post to the same company at once, Tally sells TallyPrime Server (₹2,70,000 + GST, used with a Gold licence) for that kind of load. We can run it on a dedicated VM or dedicated host for larger teams; compare it with a plain cloud server in Tally cloud vs TallyPrime Server.

Owners and field staff on mobile

Microsoft's free Windows App opens the full TallyPrime on iPhone, iPad and Android, so you can check outstandings or approve a quotation from anywhere. Printers aren't redirected on phones, so export a PDF and share it on WhatsApp instead. Each phone session uses one TVU while TallyPrime is open.

What it costs

Hosting is a flat ₹799 per user per month + GST, the same rate for 2 users or 25+: five users cost ₹3,995 a month and ten cost ₹7,990. Your TallyPrime licence and any TVU packs are paid to Tally separately.

Switching over

Moving from branch copies to one cloud company

If your branches synchronise today, the move is mostly about choosing one master copy and switching everyone to it on the same day.

  1. Pick the master copy. Run a final full synchronisation, then treat one company, usually head office's, as the books from now on.
  2. Back it up and restore it on your server. Take a backup from the Alt+Y Data menu. We restore it, reactivate your licence and check the trial balance, stock summary and voucher counts against your PC with you.
  3. Set up branches inside the company. Branch voucher types, godowns, cost centres and a user role for each kind of job.
  4. Give everyone a login. Each person installs Windows App or opens Remote Desktop Connection, and signs in with two-factor login.
  5. Switch synchronisation off. Keep the old branch copies as read-only reference, and post only into the cloud company from go-live.
FAQ

Multi-user Tally on Cloud: FAQ

How many users can use Tally on Cloud at the same time?

As many as your licence and server allow. Tally counts every TallyPrime window opened over Remote Desktop as one Tally Virtual User (TVU). Silver includes one, so it suits a single person. Gold includes ten, so ten windows can be open at once, and Tally sells extra TVU packs at ₹125 per user per month plus GST, billed annually. We size the server's memory for your peak.

Do I need TallyPrime Gold for multi-user cloud access?

Yes, for more than one person at a time. Silver is a single-user licence with one Tally Virtual User, while Gold is the multi-user edition and includes ten. Tally sells a Silver-to-Gold upgrade for ₹45,000 plus GST, Gold outright for ₹67,500 plus GST, or Gold on rental at ₹2,250 per month plus GST, with TSS included in the rental.

Can one TallyPrime licence cover all my branches on the cloud?

Yes, if the branches belong to the same legal business entity. Tally's licensing guidance says cloud hosting can share one licence across branches of the same entity, but not across different entities, and its TVU FAQ says multi-location organisations can run a single licence. A sister firm or company needs its own licence. On an office LAN, by contrast, a Gold licence is limited to one location.

Is a central cloud company better than Tally's data synchronisation?

For branches with dependable internet, usually yes. Synchronisation exchanges vouchers and masters between separate company copies, needs a valid licence and active TSS at both ends plus the same TallyPrime release, and renamed masters or clashing voucher numbers create clean-up work. With one central company on a cloud server, every branch posts into the same live books and head office sees stock and outstandings immediately.

How do I use Tally on multiple computers without a LAN?

Move TallyPrime and your company data to one Windows cloud server and let each computer connect to it with Remote Desktop. Nothing is installed on those computers except Microsoft's free Windows App or the built-in Remote Desktop Connection, so they can sit in different cities, and Macs, phones and Chromebooks work too. Tally does not support stretching a licence over a LAN built with a VPN.

Can I stop branch staff from seeing head-office reports?

Largely, yes. TallyPrime's user roles (Alt+K, then User Roles) control which voucher types each person can create, alter or view, which reports they can display, print or export, and how far back they can enter vouchers. Give each branch its own voucher types and a role limited to them. Roles work by voucher type and report rather than by branch, so very strict separation may need a vetted add-on.

What happens if a branch's internet goes down?

That branch can't reach TallyPrime until it reconnects, but every other location keeps working and the company data stays safe on the server. Vouchers saved before the drop are already in the books, and a dropped Remote Desktop session normally stays open on the server, so reconnecting brings you back to the same screen. Keep a 4G hotspot ready as a fallback at busy billing counters.

Does a phone or iPad login use up a TVU?

Yes. Any TallyPrime window opened over Remote Desktop counts, whether it is opened from a PC, Mac, iPad or Android phone. An owner who checks outstandings on an iPhone uses one TVU while TallyPrime is open there, so sign out when you're done. If ten staff already fill Gold's ten TVUs, the owner's phone needs an eleventh, bought as an extra TVU pack from Tally.
