For FMCG, electrical, hardware and paint distributors

Tally on Cloud for distributors, stockists and wholesalers

Put every godown, every salesman and your own phone on one live TallyPrime company. Your licensed TallyPrime moves to a private Windows server in India, so godown stock changes the moment a transfer is saved, salesmen check a party's outstanding before booking the order, and e-way bills go out from whichever desk is dispatching.

  • Every godown on one live company
  • Your own Gold or Silver licence
  • Daily automated backups in India
  • Starting from ₹799/month
Quick answer

Tally for distributors works best when every godown, salesman and the owner work in one TallyPrime company. Tally on Cloud runs your licensed TallyPrime on a private Windows server in India: godown-wise stock updates live, salesmen check outstanding on their phones, and e-way bills go out from any location. Daily automated backups run on their own.

Why distributors move

Distribution headaches the cloud fixes

The usual set-up is TallyPrime on one office PC, or a Gold licence shared across the office network. That works while the business is one shop and one godown. Add a second godown, a team of salesmen and an owner who travels, and that one PC becomes the bottleneck for everything.

  • Stock that is only right at night. The godown keeps its own copy or phones in numbers, so the office bills against yesterday's balance.
  • Salesmen calling the office for dues. Before every order, someone stops billing to read out a party's outstanding.
  • An owner who can't see receivables. Away from the desk, the only way to know is to ask the accountant.
  • E-way bills tied to one desk. Dispatch waits for the one clerk at the one PC with the portal access.
  • One PC holding the whole business. A dead disk or ransomware stops billing at every location at once.

TallyPrime with multiple godowns

Godown-wise stock, transfers and batches in real time

TallyPrime already handles multiple godowns well. What breaks is the distance between them. Put the company on one cloud server and every location posts into the same books.

Tally Solutions' own guide for distributors (July 2026) lists what matters: real-time balances at every location, stock transfers recorded as proper entries, batch and expiry visibility per location, and godown-specific stock reports. None of that changes on a cloud server. It is the same Windows TallyPrime 7.1, with the same godown masters, stock journals and reports your staff already know.

What changes is timing. When the godown clerk saves a stock journal moving 40 cases from the main godown to the city godown, the biller at head office sees it on the next screen, not tonight. A salesman promising stock to a retailer can check the godown-wise balance himself.

  • Godown-wise balances. Stock Summary by godown, for one item or a whole stock group, always current.
  • Transfers with a trail. Stock journals and delivery notes between godowns, entered by the godown that ships.
  • Batches and expiry. Batch numbers with manufacturing and expiry dates for food, FMCG and personal-care lines. Pharma distributors should read our page on Tally for pharma distributors.
  • Godowns in more than one state. TallyPrime 3.0 added multiple GST registrations in one company (Tally's release-wise features). Moving stock to your own godown under another GSTIN counts as a supply between distinct persons under GST, so confirm the invoicing with your CA.

Using Tally's data synchronisation between head office and godowns? Sync exchanges vouchers between separate copies of the company, so each location works on its own copy until the next exchange. One cloud server removes the copies. Compare both in Tally data synchronisation vs one cloud server, and see how branches share one company on Tally on Cloud multi-user.

Owner and field team

The owner's phone and salesmen on phones and tablets

TallyPrime installs only on Windows. On the cloud, a phone becomes a window onto your server: install Microsoft's free Windows App on Android or iPhone, sign in, and the full TallyPrime opens with your company loaded. Our Tally on mobile guide walks through the setup on each device.

  • The owner. Party-wise outstanding, receivables ageing, godown stock and cash, wherever you are. On a MacBook it works the same way; see Tally on Mac.
  • Salesmen. Check a retailer's dues before booking the order, and godown stock before promising delivery. Each salesman has his own login, so you switch off one login when he leaves.
  • Order entry. TallyPrime is keyboard-driven, and Windows App supports hardware keyboards. A tablet with a keyboard makes sales orders comfortable; keep the phone for quick look-ups.
  • Sharing on the road. Phones and tablets can't redirect printers, so share the invoice or ledger as a PDF by e-mail, or on WhatsApp with Tally's WhatsApp subscription (₹1,300 a year per Tally's customer hub).
  • See only what they need. TallyPrime's user roles can limit a salesman's login to the reports and vouchers his job needs.

Each TallyPrime window counts as a virtual user, so ask salesmen to log off after a quick check.

Assumes everyone at head office and the godowns, the owner and your CA are in TallyPrime at once, each with one window open. Tally Virtual User rules from Tally's TVU FAQ: Silver includes 1 and cannot add packs, Gold includes 10, extra packs cost ₹125 per user per month plus GST, billed annually, with volume discounts from 5 packs. Hosting uses our flat ₹799 per named user a month, ex-GST; above 25 users we quote for a dedicated server at the same rate. Details in Tally Virtual User explained and on our pricing page.

GST at volume

E-way bills and e-invoices at distributor volume

A distributor raises far more e-way bills than a typical business. The rules are the same for everyone; what the cloud changes is who can raise them, and from where.

E-way bill and e-invoice rules that affect distributors, with official sources
RuleWhat it says
E-way billNeeded when a consignment's value exceeds ₹50,000, counting the tax on the invoice. Rule 138(1) of the CGST Rules (CBIC; e-way bill FAQ).
Movement within your stateSeveral states set a higher limit, such as ₹1,00,000, for goods moving within the state. Limits change, so check your state's current notification.
e-InvoiceMandatory for B2B invoices from 1 August 2023 if aggregate turnover exceeded ₹5 crore in any year since 2017-18 (Notification 10/2023–Central Tax, summarised by Tally Solutions).
30-day reporting windowFrom 1 April 2025, with AATO of ₹10 crore or more, invoices, credit notes and debit notes must reach the IRP within 30 days of their date, or the IRN is refused (GST e-invoice portal).

Last reviewed 2026-10-06. GST rules change; confirm your position with your CA.

TallyPrime has generated e-invoices since release 1.1 and connected e-way bills since 2.0. Release 7.0 lets you cancel the e-way bill, e-invoice and voucher together, and 7.1 can exclude transactions that don't need an e-way bill and validates HSN codes. All of it needs an active TSS, according to Tally's TSS FAQ.

Connected services need the server to reach the internet, not your office. On a cloud server, a power cut or a dead broadband line at head office doesn't stop the godown clerk generating the IRN and the e-way bill at dispatch. And because there is one company, the accountant sees every e-way bill raised at every godown in one register.

  • Raise it where the truck is. Any login you allow can generate the e-way bill from the sales voucher.
  • No 30-day surprises. Invoices can go to the IRP from wherever they are saved, instead of waiting for someone to get back to the office PC.
  • One login per person. Your GST portal access stays on the server instead of on sticky notes at each godown.

Save the sales invoice

At the godown that dispatches or at head office, in the same live company.

Get the IRN and QR code

If e-invoicing applies to you, TallyPrime sends the invoice to the IRP from the server.

Generate the e-way bill

Part A comes from the same voucher; add the vehicle or transporter details for Part B.

Print or share

Print at the dispatch desk on its own printer, or share the PDF from a phone.

The back office

Scheme claims, godown printing and daily backups in India

Three jobs every distributor does, and how each one works when the books live on a server instead of the office PC.

Scheme and claim settlements

Principal companies run free-goods schemes, trade discounts and display claims, then settle them weeks later with credit notes. The money is real; the tracking is often a spreadsheet.

  • Show free goods on the invoice with TallyPrime's separate actual and billed quantity columns, as in a 10 + 1 scheme.
  • Give discounts as a percentage, an amount or both, which TallyPrime 7.1 made more flexible.
  • Keep a claims ledger per principal, bill by bill, so pending claims age like any debtor.
  • Your accountant and CA reconcile against the principal's statement from their own logins.

Godown printing and scanners

Printing is where cloud set-ups most often go wrong, so we check yours before you pay.

  • Windows PCs redirect local printers into the session, so invoices print at the godown that ships.
  • Thermal and dot-matrix printers sometimes need their own driver on the server; we set them up and test your models during the trial.
  • Barcode scanners that type like a keyboard generally work, because they just send keystrokes. We test your exact model too.
  • Phones and tablets share a PDF instead. Full guide: how to print from Tally on Cloud.

Daily backups kept in India

Daily automated backups of your whole TallyPrime data folder, stored away from the server with 30-day retention, in a secure data centre in India.

  • Restore a company to an earlier day if a batch of vouchers goes wrong or data is damaged.
  • Since 1 April 2026, Income-tax Rule 46(8) requires electronic books to be backed up daily on servers in India.
  • Take your own backup to your laptop whenever you like. The data stays yours.
  • Encrypted sessions and two-step login; see Tally on Cloud security.
Recommended setup

A recommended setup for a distribution business

Every distributor is wired a little differently, but this is the set-up we start from, and the order we move things in.

The starting checklist

  • Licence. TallyPrime Gold in your business's name for more than one person. Silver covers one remote user and can't add packs; Tally's Silver-to-Gold upgrade is ₹45,000 plus GST.
  • TSS active. Needed for connected e-way bills, e-invoices, GST filing and WhatsApp sharing.
  • Plan. Multi-user for 2–25 people at ₹799 per user a month; above 25 users, a dedicated server at the same rate. Every plan is on our pricing page.
  • Godowns. One Windows PC at each dispatch desk, with the invoice printer attached.
  • Salesmen. An Android phone or tablet with Windows App and their own login.
  • Owner. A phone for quick checks, plus a laptop, MacBook or iPad for longer reviews.
  • Internet. Ordinary broadband at each godown and a 4G hotspot as backup; see internet speed for Tally on Cloud.

How the move works

  1. Tell us your companies, godowns and people. On WhatsApp or a call. We size the server from your data and user count.
  2. We build the server and migrate. We restore your companies, move the licence and create a login for each person, ready within one business day. The details are in our Tally data migration guide.
  3. Test at one godown first. During the free 7-day trial, bill, print and scan from a real dispatch desk with your own printers.
  4. Go live godown by godown. Switch one location at a time. The old PC stays as a fallback until you are sure.

Support 7 days a week, on WhatsApp and phone, with engineers who know TallyPrime and Remote Desktop. Our 99.9% uptime target is set out in the SLA.

FAQ

Tally for distributors: common questions

Can distributors use Tally on Cloud with several godowns?

Yes. TallyPrime's godown features work the same on a cloud server, so godown-wise balances, stock transfers and batch details update the moment anyone saves a voucher. Staff at each godown log in to the same company over the internet instead of sending data files, and head office sees live stock without waiting for an end-of-day sync. Adding a godown is a new godown master and a login, not a new PC.

Can my salesmen check outstanding on their phones?

Yes. Each salesman opens the full TallyPrime through Microsoft's free Windows App on Android or iPhone, with his own login. Every open session counts as one Tally Virtual User, so make sure your licence covers your busiest moment; Gold includes 10. A phone is fine for checking a party's outstanding or godown stock in seconds. For order entry, a tablet with a keyboard is far more comfortable.

Will barcode scanners and thermal printers work?

Scanners that act as a keyboard generally work inside a Remote Desktop session, because they simply type the code into TallyPrime. Windows PCs can redirect their local printers, including many thermal and dot-matrix models, while a Mac prints through one generic driver. iPhone, iPad and Android cannot redirect printers at all, so they share a PDF instead. We test your exact scanner and printer models during the trial, before you choose a plan.

How many Tally Virtual Users does a distributor need?

Count the TallyPrime windows open at your busiest moment, not the people on payroll. Tally counts every remote session, and every extra window one person opens, as a Tally Virtual User. Silver includes 1 and cannot add more; Gold includes 10. Beyond that, Tally sells extra packs at ₹125 per user per month plus GST, billed annually, with discounts from 5 packs. The planner on this page does the count for you.

Can we generate e-way bills and e-invoices from the cloud server?

Yes. It is the full Windows TallyPrime, so connected e-invoicing and e-way bills work exactly as on an office PC, provided your TSS is active and your portal API access is set up. Because the server's internet connection doesn't depend on your office line, a godown clerk at dispatch or the owner on a phone can raise the e-way bill from the same voucher, even when head office has a power cut.

What happens if the internet goes down at one godown?

Your books are not affected, because they live on the server, not at the godown. Every voucher already saved is safe, and the other godowns, salesmen and head office carry on working. The godown reconnects as soon as its line returns. Remote Desktop sends only screen updates, so a 4G phone hotspot makes a practical backup connection for the dispatch desk while the broadband is down.

Is one cloud server better than Tally's data synchronisation between godowns?

For most distributors it is simpler. Tally's data synchronisation exchanges masters and vouchers between separate copies of the company, so each location works on its own copy until the next exchange, and conflicts have to be sorted out. On one cloud server there is only one copy. Every godown, salesman and the owner work in it directly, so there is nothing to sync and nobody waits for data.
